Personalize Collection Letters
The purpose of this article is to outline the many tokens available for use in Rev.io's collection letter designer.
Place Holder Codes can be used in collections templates to auto-fill the letters and emails with info from the customer’s account. Place Holder Codes are a great way to customize collection efforts to maximize effectiveness. Place Holder Codes can be found when editing a letter in collection templates in the toolbar by clicking the $ icon. The following is a list of available Place Holders categorized by type.
Place Holder Code
Remit address stored on the Bill Profile for this customer. This is what would be displayed for the Remit address on any statement they receive.
Displays an image of the company logo, much like what is shown on a customer statement.
User Name the customer would use to log into Billcenter.net
Password the customer would use to log into Billcenter.net
Customer's full name.
Customer's First name only, if Residential. The Company Name if Business
Customer's Last name only, if Residential. Blank if Business.
Customer's Custom Account Number, or if there's no custom number set, Customer ID.
Customer ID specifically, regardless of whether there's a custom account number or not.
Main BTN of customer.
Billing address for the customer.
Displays the Statement ID for the overdue statement. When there's more than one overdue statement, the oldest one is displayed.
The date a customer will enter the Suspend Step. This is calculated by adding up the Grace Day settings for all steps between the one using the Place Holder and a Suspend 2-way/1-way step that follows it.
The date a customer will enter the Disconnect step. This is calculated by adding up the Grace Day settings for all steps between the one using the Place Holder and a Disconnect step that follows it.
Date of most recent payment posted to the account. It is blank if no payment has been posted yet.
The date the letter was generated.
Number of days overdue relative to the date the letter is generated.
Due date for the amount due. When there's more than one statement overdue, this displays the oldest due date.
You can replace the X with any integer. A date is calculated based on the integer you use, the system adds that many days to the Due Date and returns that date for display. For example: DUE_DATE_PLUS_4 would display a date 4 days after the due date. DUE_DATE_PLUS_10 would display a date 10 days out from the due date.
Current balance of the customer, as is displayed on the customer's account page under the same label. It includes unposted transactions.
Total balance due of the customer, as is displayed on the customer's account page under the same label. This number could include multiple statements if more than one are unpaid.
Amount of the last payment posted to the account.
Balance amount currently past due. This could include multiple statement balances if more than one is overdue.
Displays the disconnect fee set on the Bill Profile assigned to the customer.
Displays the restore fee set on the Bill Profile assigned to the customer.
Displays the deny fee (suspend fee) set on the Bill Profile assigned to the customer.
Name of the agent assigned to the customer.
Address of the agent assigned to the customer as set on the agent's profile. Note: This prints multiple lines of text.
Full name of the user performing the action of creating the letter. Note: if done through automation, this would be "SYSTEM".
Agent ID assigned to the customer.
User ID of the user performing the action of creating the letter. Note: if done through automation, this would be 0 (zero).
Phone number for the agent assigned to the customer as set on that agent's profile.
