1. In the Customers tab, click Customer Wizard


  2. Next, select the Local Carrier or service provider. Inhouse may be the only option if services are provided directly from your company. Select New or Conversion order. Selecting the Conversion option will prompt the user to add a Current TN and select an option to retain the current listing.


  3. Before leaving this screen, enter the contact information for this account and then click
    Next.


  4. On Step 2, create the customer's profile by entering the customer account information. Information required may differ from this guide because this page is customizable on a system level. Some of the options selected on this page include:
    1. Custom Account Number – Rev.io will generate an account number if this is left blank.
    2. Billing Profile – This option controls the billing rules, customer segment and/or branding for this customer. This field is REQUIRED.
    3. Email – This is the email address that will receive statements and other correspondence from this account. This field is REQUIRED for email bills.
    4. Class – Select from Residential or Business. This field is REQUIRED.
    5. Sales Person – This field will automatically default to the user entering the order. Another user can be selected if desired.
    6. BTN (Billing Telephone Number) – This option is unavailable when creating a new customer and can be selected once a line is established on the account.
    7. Contract Start/End – Contracts can be added at the account level in this step of the New Customer Wizard.
    8. ATTN Contact - This field displays on the attention line of the customer's bill and on collection letters.
    9. Bill Method – Select the bill method of receipt for the customer. This field is REQUIRED.
    10. Statement Print Type – This option will not be available for selection unless otherwise specified.
    11. Print Summary Only – Select this option for the customer to receive a Summary Only version of their statement.
    12. Generate CDR Downloads – This option allows the customer to retrieve CDR Downloads inside the customer portal. Files can be retrieved by clicking on Accounts > Downloads.
    13. Special Payment Terms – This option overrides terms on the bill profile.
    14. Minimum Usage Billing Amount - Specify a minimum usage billing amount to be applied to an account.
    15. Minimum Usage Billing Fee - Specify a fee to be applied if a usage minimum is not met.
    16. Minimum Usage Billing Fee Description - Specify a description for the minimum usage billing fee to be shown on the customer's statement.
    17. Collection Template – This option defines the collection rules on the account. If a template is associated with the bill profile this select will not be available.
    18. Close Reason - This field is to be ignored in the new customer wizard. This field can be populated when disconnecting and customer's account and the information is stored in the customer profile section of the account.
    19. Collection State – Not available until account is created.
    20. Agent – This field specifies the agent of record on the account. This agent is commissionable through the standard commissions in Rev.io.
    21. Secondary Agent – This field specifies a secondary agent. This agent is not commissionable.
    22. Late Fee Exempt – This checkbox removes this customer from the late fee rule specified in the bill profile.
    23. Tax Exempt – This field will enable options to exempt this customer from taxes at each taxing authority level.
    24. Account Type – These options define whether or not the account is in a billable relationship with another account. This setting is REQUIRED.
      1. Standard – This account has no billable relationship with another account.
      2. Parent – Has children and is the billable party for those children.
      3. Child – Must have a parent and does not receive a bill.
  5. The Security tab on this screen is used to store an account pin or a security question and answer on the customer's account. Security questions are customizable under Settings > Drop Down Editor.
  6. The Additional Fields tab on this screen contains custom fields that are created at the customer profile level. Custom fields for the customer profile are configured under Settings > Custom Fields.
  7. The Custom Fields tab on this screen contains custom fields if added from the database.
  8. On the next step, enter the Service Address and choose if the address is the same for the Billing and Listing Address. Rev.io will attempt to validate the address. If the address does not validate, Rev.io will display an error or offer options that are a close match to the address.


  9. If duplicates are detected, a notification will be received. Review the possible duplicates found in the system and decide whether to proceed or cancel the order.
  10. Next, choose a line or service type. If only one line/service type is available that option will be presented on the screen. If multiple line/service types are available, select the appropriate option and then complete the necessary information.
    Line (Service) types and fields will be unique to each company. Create and use fields to store information that may be needed at a later time to service the account.

  11. Scroll to the Products section below the line type and select the billable products from the product catalog. Products are grouped by product type. Expand the type to view the full product list and select options. Select one or more products and click the Addbutton in the top right portion of the screen.
    If no products are selected at this time, the customer and order will still be created. The line or service will not display in the Services & Workflow section because it will be considered inactive. Select the checkbox in this section titled Include Inactive Services to show inactive lines.


  12. Review the items added and Edit if necessary.



  13. At the top of the page, Save to continue with the order. If additional lines need to be added, click Save & Add New.
  14. On the Summary page, review the Order Options. Add additional options to the order or remarks/notes on this page.

  15. If processing a payment is necessary, go to the Payment Details tab. Complete the payment method and details then Create Order. If not processing a payment, just click Create Order

  16. Once the order is complete click OK to access the new account.
